For flying clubs

Bookings, billing and renewals for the whole club.

Members book from their phone, every flight is charged at club rates and statements go out on their own. Members pay and renew online too.

Where the committee's time goes

Four jobs Volanti takes off your volunteers.

The treasurer

Chasing unpaid flying, and reconciling the club account against a spreadsheet only they can open.

The membership secretary

Retyping renewal forms into the records, and spotting members whose membership has lapsed while they are still booking aircraft.

The bookings officer

Fielding calls to swap slots, and keeping everyone informed about what is free and when.

Whoever answers the phone

Routine questions about availability, payments and personal details, all routed through one volunteer.

A booking, start to finish

From the phone to the statement.

No committee involvement required at any step
  1. Step 1: A member books from their phone

They see live availability and pick a slot. Restriction rules check the licence and medical records the club holds on file before the booking is accepted.

  2. Step 2: Confirmed everywhere

A confirmation email goes out, the booking appears in their own calendar via the iCal feed, and it shows on the live board in the clubhouse.

  3. Step 3: The flight becomes a charge

The flight is logged and priced at club rates the moment it is completed, and the charge is added to the member's account automatically.

  4. Step 4: Statements are issued automatically

Every member receives a statement. They settle their balance online by card, and overdue accounts are chased by the system.

  5. Step 5: Renewals happen online

A renewal reminder is sent automatically, the member renews and pays from the portal, and the records update themselves.

For the treasurer

The money arrives reconciled.

Every flight is charged automatically at club rates, and one-off items go on the same account. Membership fees are billed automatically, members pay by card online through Stripe or Square, and the money settles to the club's own bank account on a schedule you set, with payout reconciliation reports.

  • Every flight charged automatically, with one-off items on the same account
  • Automatic membership billing
  • Overdue balances chased automatically
  • Settlement to the club's own bank account, on your schedule
The payments overview: collected, failed and refunded payments over 30 days, payments still to complete and a chart of collected payments for the last 12 months
A pilot's account on a phone: what they owe, their credit, and links to make a payment, view payments and view itemised charges
For the clubhouse

The day's flying, on the clubhouse screen.

A live booking board that refreshes itself. Members see what is out, what is free and what is next, and the board always matches the diary.

  • Live boards for any screen, updating automatically
  • Cancelled slots go to the waiting list as expiring offers
For the committee

One dashboard for the committee.

Active members, renewals approaching, new joiners, revenue for the last 30 days and the 12-month trend, on one screen.

  • Roles and permissions per committee member
  • A full audit trail on every change, with names and times

Member records the booking system reads.

Licences and medicals on file

Licences, ratings and medical certificates recorded against each member, with expiry dates.

Enforced at the point of booking

Restriction rules check licence, medical, membership and recency when a member books, and block the booking if a requirement is not met.

Signed electronically

Club rules and waivers are signed at onboarding, and the portal stays gated until every outstanding agreement is signed.
