For aircraft hire operators

The right pilot in the right aircraft.

For businesses and clubs that hire aircraft to qualified pilots. Every booking a pilot makes in the portal is checked against licence, ratings, medical, recent hours and membership before it is accepted, and every flight is charged to the pilot when it is completed.

The aircraft list: each registration and type with its upcoming bookings and hours flown over the last 7, 14 and 30 days
Hours flown on every aircraft

What Volanti checks on every hire.

When the pilot books, when the aircraft goes in for maintenance, and when the flight is completed.

  1. Step 1: Who may fly what

The pilot's licence, ratings, medical and recent hours are checked against the aircraft's rules when they book, so a pilot with an expired medical cannot book.

  2. Step 2: What is available to fly

Maintenance holds and groundings go on the same diary pilots book from.

  3. Step 3: Who owes what

Each completed flight is priced at your rates and lands on the pilot's account, with a balance and a monthly statement to match.

Restrictions

Rules for who can book each aircraft.

More than 16 restriction rule types decide who can book what. Set the rules for each aircraft and Volanti applies them when a pilot books from the portal.

  • Licence, ratings and medical, with expiry dates on the record
  • Minimum recent hours, so a pilot who has not flown for months books a check flight first
  • Current membership, for clubs that hire only to members
  • User groups you define, such as pilots cleared for the complex aircraft
  • Expiry reminder emails before a licence or medical runs out

Saturday 09:00 to 13:00, four-seat tourer

Checked when the pilot presses book

  • Licence Valid
  • Rating for this aircraft Valid
  • Medical Valid
  • Hire agreement Signed
  • Recent hours Below minimum

The pilot cannot book until every rule passes.

Groups work in any restriction rule

Hire terms and waivers.

Signed electronically, with a record of who signed which version.

At onboarding, booking or checkout

For example, hire terms when a pilot joins and a waiver when they book.

Portal locked until signed

A pilot with an outstanding agreement cannot book until it is signed.

Document library

Operations manual, aircraft notes and local procedures, each visible only to the people you choose.

The diary

Bookings, holds and grounding.

One live diary for every aircraft, room and instructor. Pilots book and cancel from their phone, and conflicting bookings are refused. A maintenance hold blocks the aircraft for that period.

  • Holds for maintenance, instructor illness and more
  • Ground the whole fleet, or an instructor for the full day
  • Cancel for weather or a technical issue and the aircraft is held for everyone
  • Confirmations, reminders and calendar feeds for Google, Apple and Outlook

The diary

Saturday

  • Four-seat tourer, 09:00 to 10:30 Booked
  • Trainer 1 Hold: maintenance
  • Trainer 2, 13:30 to 15:00 Open

Ground the fleet for the day and every aircraft is held at once.

A hold blocks the aircraft
Ops room

Live display boards.

Show the day's bookings on the ops-room screen. Each board runs on a signed link and refreshes itself.

  • Signed link, no login
  • Refreshes on its own
  • Check-in, late and no-show tracked

Today's bookings

The ops-room board, refreshing itself

  • 09:00 solo hire Checked in
  • 10:30 training flight Late
  • 12:00 solo hire No-show
  • 13:30 checkout flight Confirmed

Shown on a signed link, with no login.

The ledger

Every flight is charged when it is completed.

Close off the flight and Volanti prices it at your rates and puts the charge on the pilot's account. Record what they pay you by cash, bank transfer or card machine, and each pilot gets a receipt, a running balance and a monthly statement with a PDF.

  • Every completed flight priced at your rates
  • Cash, transfer and card machine payments recorded against the pilot
  • Receipts, balances and monthly statements

Card payments and chasing.

Pilots pay by card in the portal, and the money settles to your own bank.

  • Card payments in the pilot portal
  • Payment links and automatic chasing of overdue balances
  • Touch-screen front desk checkout
  • Gift vouchers and discount codes accepted
Cash and transfer still work alongside it

Instructors for checkouts.

Instructors are booked in the same diary as the aircraft, so checkouts and check flights are charged the same way as any hire.

Their own availability

Instructors open and close their own hours.

Their own diary

Bookings and flight history, plus a calendar feed.

Logbooks

Pilots export flights to LogTen Pro in one tap.

After a checkout, add the pilot to the group that can book that aircraft.
