For membership secretaries

Membership plans, renewals and reminders.

Membership plans, renewal reminders and the list of who has lapsed sit in the same system as the diary. A member whose membership has run out cannot book an aircraft.

The memberships list: renewals unpaid and memberships awaiting a first payment, then each member's plan, status and annual, monthly or weekly price
A status on every membership

Renewals, agreements and medicals.

Held on every member's record.

  1. Step 1: Who has renewed

Every membership has a plan, a period and a status. Renewals are recorded against the member.

  2. Step 2: Who has signed the rules

Club rules and waivers are signed during onboarding, and Volanti records who signed which version.

  3. Step 3: Whose medical runs out next

Licences and medicals are held with their expiry dates, and the booking rules check them before anyone flies.

Plans and periods

Plans, pro rata and an anchor date.

Set up your membership plans and their periods, then pick an anchor date. A member who joins halfway through the year pays pro rata up to the anchor, and from then on renews with everyone else. Renewal reminders are sent before the date.

  • Annual, pro-rated and monthly billing
  • New members pay pro rata up to the anchor date
  • One renewal date for the whole club
  • Renewal reminders sent automatically

Members manage their own membership.

From the pilot portal, a member can cancel a membership or reactivate one they let lapse. They renew and pay there too.

  • Renew and pay online

Lapsed members cannot book.

Membership is one of the booking rules. When a membership runs out, the diary stops taking that member's bookings until they renew.

Membership in the booking rules

Require a current membership to book any aircraft, or only some. The check happens at the point of booking.

Club rules signed at onboarding

Agreements and waivers are signed electronically when a member joins. The portal stays closed until every outstanding one is signed.

A document library with limits

Keep the operations manual, minutes and notices in one library, each restricted to the people who should see it.

User groups

Group members as juniors, life members or committee, then use those groups in booking rules and document access.

Licences and medicals

Expiry dates and reminders.

Each member's licence and medical are held on their record with an expiry date. Booking rules check them before a flight, and a reminder email goes out before either one expires.

  • Licence and medical records with expiry checks
  • Expiry reminder emails before either one runs out
  • Currency enforced at the point of booking
Coming soon

Pilots upload their own licence and medical

Members will take a photo of a renewed licence or medical in the pilot portal, and the record will be updated from it once you approve it. Until then, an admin enters the details.
